FREQUENTLY ASKED QUESTIONS:

Are your itineraries pre-set or am I able to have you customize a program for me?
Each program is customized to meet the needs and goals of your MBA or EMBA program. We will work with you to develop an itinerary of the highest quality to complement your syllabus and yet be within your budget constraints. Our detailed oriented team prides itself on our high standards of itineraries, accommodations, knowledgeable guides and ground support.

Do you arrange company visits?
Global Tracks will gladly arrange company visits for you. We know how important these visits are to your program and we can contact and coordinate company visits that will meet the needs of your program. If you prefer to set up your own company visits, we can arrange for a motor coach and English speaking guide to transport you to your visits.

Is there a charge to arrange company visits?
If Global Tracks is to set up all company visits there is usually a charge depending on the country and the length of your trip. Often we work together with universities and can assist when your program is short only a few visits, and in that case, often there is no extra charge.

How far in advance should I begin planning my program?
Most colleges and universities begin planning their programs 9 to12 months ahead of time. However, very successful programs have been planned from 5 -6 months in advance. It is especially important to allow enough time if you are going to a new destination or if it is your very first travel programs overseas. We are here to help you every step of the way.

Can you arrange group air flights?
We do offer group airfare if the group consists of 10 or more people. Flights normally are booked 11 months in advance.

If my university is not providing flights for the group, can you work with individual students to arrange air?
Yes, we will work with the individual students to accommodate their flight requests. We can accept credit cards or checks for payments.

What airlines does Global Tracks use?
We use all of the major airlines, both domestic and foreign. We search for the best price and the best schedule by working with travel vendors who specialize in discounted group air and also by working with individual airlines.

Do you allow flight deviations or upgrades?
We can work with individuals to do air deviations; however, and often there is an additional charge by the airlines. Upgrades are not guaranteed but we will try to accommodate the requests.

What is your cancellation policy?
Each program offered has its own cancellation policy, depending on the policies of the hotels, airlines, etc. that are being used. Once the contract is signed a deposit is made to secure space. Our cancellation policy will be stated in the contract so you know when the program could be cancelled and what the penalty is if the total number of students drop significantly.

Do you have to have a minimum number to make a group?
A Group has a minimum of 10 travelers.

Do you offer any type of sightseeing at a destination?
We will put together high quality, educational city sightseeing tours as well as optional tours at each destination. We work very closely with you to make sure that we provide you with a guide that will meet your needs.

How do I know what type of hotel I should use?
We work with hotels that best fit your requirements. We use primarily 4 star (superior properties that distinguish themselves with a high level of service and hospitality) and 5 star (luxury properties that exhibit an exceptionally high degree of service and hospitality) properties. We understand that the location of your hotel is very important and hence, primarily use hotels located close to your site visits or city center.

Can you arrange meeting rooms?
Yes, we are able to arrange all of your meeting room needs. Meeting rooms can vary in size and setup, and typically there is a half-day or full-day cost associated with the room. It is best to know in the early planning stages if you need meeting room space since they sometimes become booked quickly.

What destinations do you offer?
We have experience planning educational programs all over the world. With our expertise and knowledge we can help you plan travel to whatever destination you want. Some of our most popular destinations include, but are not limited to China, Singapore, Thailand, Vietnam, South Korea, United Kingdom, Italy, Spain, Germany, Poland, Czech Republic, France, India, Argentina, and Costa Rica.

Can you assist with passports?
Yes, we can if needed or the U.S. State Department website at www.cdc.gov/travel will give your students all the necessary information to obtain a passport. Also most local U.S. Post Office may have the application form. They will need your original birth certificate to apply.

Can you assist with visa and how much will it cost?
Several destinations require that you have a visa for entry into their country. Global Tracks will provide you with the information you need to obtain a visa though one of the visa service companies we use or directly from the country’s embassy. We can handle all the visas for your group if you like. The visa price will vary depending on the country to which you will be traveling.

Will I need shots before traveling? v Different countries require different inoculations. We will let you know what the country you are traveling to requires, or you can visit the Center for Disease Control website at www.cdc.gov/travel. It is recommended that you check with your personal medical provider.
